KoboSync is a pure software and data layer. It does not hold or move customer funds.

KoboSync is a Naira-denominated SaaS structured as a standard shares company. Because it operates as a software layer and does not process, hold, or transfer money on behalf of merchants, it sits outside the scope of CBN payment institution regulations. Merchants retain full control of their gateway accounts and bank settlements.

Every time a Nigerian merchant makes a sale, a series of manual tasks begins. The Paystack dashboard needs to be opened. The transaction needs to be copied into a spreadsheet. A receipt needs to be sent manually. The VAT needs to be calculated and set aside. At month end, the accountant needs an export.

How KoboSync works

The automated pipeline

After a merchant connects their gateway and Google account, KoboSync takes over. No polling, no manual exports — every payment triggers the full reconciliation pipeline automatically.

Webhook received

A customer completes a payment. Paystack, Flutterwave, or Monnify sends a signed HTTP POST to KoboSync.

Signature verified

KoboSync authenticates the request using HMAC SHA-512. Requests that fail verification are rejected.

Fee & VAT calculated

Net profit is computed after gateway fees. VAT is extracted at 7.5% (inclusive or exclusive) for FIRS compliance.

Ledger updated — under 3 seconds

Transaction is written to Google Sheets, posted as a journal entry in Xero or QuickBooks, and stored in KoboSync's own audit log.

Receipt dispatched

A PDF receipt is generated and delivered to the customer. WhatsApp confirmation is sent if the customer has opted in.

How merchant data is protected

KoboSync handles merchant API keys and payment data. The security model is designed so that even a database breach exposes nothing usable.

AES-256-GCM encryption at rest

All stored Paystack, Flutterwave, and Monnify API keys are encrypted using AES-256-GCM before being written to the database. The encryption key is never stored alongside the data it protects.

HMAC SHA-512 webhook verification

Every incoming webhook is authenticated against the provider's cryptographic signature before any data is read or processed. Requests that fail verification return 401 and are logged.

Durable write recovery

KoboSync returns HTTP 200 to payment gateways immediately — that response is irrevocable. A durable pending-writes queue ensures that if a Google Sheets write fails, it is retried until confirmed, with no data loss.

Full audit trail

Every webhook event, successful write, failed write, and duplicate detection is logged with its agent note. Merchants can see exactly what KoboSync processed and why any transaction was accepted or rejected.

Role-based team access

Owner, Admin, Accountant, and Analyst roles with granular permissions. An Accountant can view tax records and log expenses but cannot delete bridges or manage billing.

No fund handling

KoboSync is a pure software and data layer. It reads transaction events and writes records — it never touches the money. Gateway settlements go directly from provider to the merchant's bank account.
